Release and Waiver of Liability, Assumption of Risk, and Indemnity Agreement
This agreement outlines the terms and conditions of membership, including liability waivers, risk assumptions, and member responsibilities. Please read carefully before joining our club.
1. Membership Eligibility and Declarations
Surrey Cycling Club is an adult-only cycling club. By joining our club you accept this agreement and you confirm that:
- You are over 18 years of age and eligible to participate in group cycling activities
- You do not have any medical condition or disability that would prevent you from safely taking part in group rides
- You understand that cycling involves inherent risks, and you take full responsibility for your own safety while participating in club rides and events
- You have read and agree to abide by the Club Rules and Dignity and Respect Policy
- You understand that if you provide your phone number and emergency contact details (name and phone number) when you register, Club Officers and Ride Captains may use them during club rides to contact you or your emergency contact if there is an emergency, or to check on your safety if you become separated from the group during a ride. No other personal information (such as your address or date of birth) will be shared. All access is verified and logged. Full details are in the Privacy Policy
2. Acknowledgment of Risk and Personal Responsibility
Members acknowledge and accept that:
- You agree to participate in all club rides at your own risk and acknowledge that you are responsible for your own safety and well-being
- When riding on public roads, Ride Captains and event organisers serve only as guides for direction, and you must decide whether any movement or action is safe
- You take full responsibility for your ability to recognise and react to road hazards, traffic, and weather conditions
- You understand that Surrey Cycling Club is a road cycling club, and participation requires a road bike in safe, working condition
- You will maintain appropriate safety equipment and follow all safety guidelines outlined in the Club Rules and Risk Assessment
- You will purchase and wear official Surrey Cycling Club clothing (Jersey or Gilet) within 3 months of joining
- You will wear the club Jersey or Gilet on all club activities (except during winter months when comfort and safety take priority)
- You understand that only the top (Jersey or Gilet) is required as official club clothing
- You understand that providing emergency contact details is voluntary. If you choose to provide them, you agree that Club Officers and Ride Captains may use your phone number and emergency contact details to keep you safe during club rides, as described in the Privacy Policy
3. Waiver of Liability
All members agree and understand that:
- No liability whatsoever shall be attached to Surrey Cycling Club, its owner, organisers, Ride Captains, event sponsors, British Cycling, Cycling UK, or any affiliated member in connection with any injury, loss, damage, or harm that may be suffered as a result of participation in any club ride or event
- Members are responsible for their own personal and third-party insurance coverage
- The club recommends having appropriate liability and accident insurance
- Members will not hold the club responsible for any accidents, injuries, or losses during activities
4. Club Ownership and Decision-Making
Members acknowledge that:
- Surrey Cycling Club is a privately owned club, registered as Surrey Cycling Club Limited in England and Wales (Company No. 13984966)
- The registered office is at The Old Engineering Works, 47 Queens Road, Weybridge, KT13 9UH
- All decisions regarding club operations, investments, and infrastructure are made by the owner in the best interest of Surrey Cycling Club and its long-term sustainability
- Membership fees are reinvested into the club to cover infrastructure costs, operational needs, and to ensure the club remains accessible for future generations
5. Member Engagement and Rewards
Members understand that:
- While the club operates under a private ownership structure, members are encouraged to express their views and suggest improvements
- Active contributors, particularly Ride Captains, Club Officers, and dedicated volunteers, may receive recognition for their commitment
- Recognition may include gifts, vouchers, or other non-monetary benefits
- Anyone in the club can step forward to help shape and support Surrey Cycling Club
6. Safeguarding and Conduct
Members confirm that:
- They are familiar with the safeguarding policies applicable to their home country and the British Cycling Safeguarding Policy
- They will always conduct themselves responsibly and with respect towards other members, road users, and event organisers
- They will follow the Club Rules and Dignity and Respect Policy in all interactions
- They will report any concerns about member conduct to club officials
7. Photography and Social Media Consent
Members acknowledge and agree that:
- By participating in club activities, you grant Surrey Cycling Club permission to take photographs and videos during official club events
- You consent to the use of these photographs and videos for club promotional purposes, including but not limited to:
- Club website and social media channels
- Club marketing materials
- Event reports and newsletters
- Club promotional content
- You understand that this consent is given without any expectation of compensation or remuneration
- You acknowledge that these materials may be used without your prior review or approval
- You understand that this consent applies to all official club activities and events
8. Agreement and Updates
By joining the club, members confirm that:
- They have read and agree to this Release and Waiver of Liability Agreement
- They have read and agree to the Club Rules, Dignity and Respect Policy, and Risk Assessment
- They understand that it is their responsibility to periodically review any updates to these policies
- They acknowledge that continuing participation in club activities constitutes acceptance of any updates
- They have read and understand the Privacy Policy
- By continuing to take part in club rides and activities, you accept any updates to these rules and policies. If you disagree with any of our rules or policy changes, please contact us immediately at report@surreycyclingclub.co.uk and stop attending club-organised events and rides until your concerns are resolved
